Collaborate online with each other and with the customer

Continue working on projects as normally as possible. In an unusual time, that is a lot. KH Engineering had previously started setting up Microsoft 365, Teams and SharePoint and can therefore continue working from any location with an internet connection via PC, tablet or even smartphone. Mutually, but also with customers, through our KH Project Portals. Large clients such as Shell also benefit greatly from this.

Combine2Operational Excellence Manager Rob van Deelen explains: ‘Operational Excellence at KH Engineering focuses primarily on efficiency through innovation. As part of the program, we started setting up a SharePoint environment within Microsoft 365 three years ago. At the time, this also was done with the intend to enable more working from home.’ QHSE Manager Carla Manders adds: ‘But frankly, the organization was not quite ready for it then. The beauty of this is that with the outbreak of the corona crisis, all the people could start working at home immediately. So we were well prepared for that.’

Project Portal

An even more important benefit to customers from Rob and Carla’s efforts is they have ensured that a fully operational KH Project Portal for clients now exists in a secure online environment. ‘Many customers also work with SharePoint,’ says Rob, ‘but we notice that it is often still used as a collection point for documents. KH Engineering has taken a more thorough approach and set up a fully-fledged online collaboration platform. ”

There are several features of the KH Project Portal. This way you can not only share documents effectively, but also collaborate on them. The portal is accessible with any common web browser and from anywhere with internet access. The security complies with the ISO 27001 and GDPR / AVG standards and the data management model according to the most commonly used standard in this field, BS 1192. ‘You can see the Project Portal as the engine room of your project,’ says Carla. ‘You can work together, exchange documents and exchange very large uploads (up to 15 GB). Useful, for example for 3D models. Moreover, you only have one place where each individual file is stored, including the entire editing history. '

So it has become a real win-win situation: KH Engineering employees share more knowledge online and through online collaboration with our clients, projects do not get delayed even during contact-limiting measures.

Project Manager Arno Coops can confirm the benefits of the KH Project Portal: ‘Immediately after the home-working measures came into effect, we were able to help Shell with a seamless transition to our KH Project Portal. Shell initially wanted to arrange this internally itself, but that effort did not succeed in the short term. That is why they knocked on our door to ask if we could open our KH Project Portal quickly. We did, and as a result, no time was lost.’

Tank storage company Koole Terminals also benefits from the Project Portal. Project Manager Willy Beelen about this: 'We are increasingly working collaborating online with Koole. That started last year and has gradually become the standard working method for both of us. At the beginning of this year, we expanded it even further, so that we can also safely share all kinds of files with the customer. But sometimes you also need other external parties for an engineering assignment. That is why we have created space for all relevant stakeholders within our KH Project Portal. This is specifically secured specifically for each party so that reading and writing rights are properly guaranteed. In this way, we can continue working on our projects despite the corona crisis.'
